Receiving a Phone Call  

To answer a phone call, lift the receiver while the phone is ringing.  You can also answer a call by pressing the green speakerphone button (located near the bottom right hand corner of the phone) or by pressing the line button that is flashing.

To end the call, hang-up the receiver, or press the red Goodbye button (located to the left of the “1” button).

 

Making a Phone Call

To place a call, dial the phone number that you want to reach using the keypad on the telephone.  Look at the screen to verify that you dialed correctly.  If you made a mistake, hit the “Backspace” softkey (bottom left corner of the display) to correct the mistake.  To abandon the call, hit the red “Goodbye” button to the left of the number “1” key.

To place your call, either lift the receiver, press the green Speakerphone button (near the bottom right of the phone), or press a Line button.

Note:  You can also lift the receiver first and then dial the number if you prefer.

 

Calling an Extension

To call an extension on your system, lift the receiver and then push the button at the top of the screen that corresponds to the extension you want to call.  You can also dial the extension number.  You can also dial an extension number using the method described above.

 

Ending a Call

To end any call, hang-up the receiver, or press the red Goodbye button (located to the left of the “1” button).

 

Mute

To enable or disable mute, press the Mute button (very bottom right hand corner of the phone).  The LED next to the Mute button will flash to indicate that mute is enabled.

 

Hold

To place the call on hold, press the Hold button (left hand side of the phone, two buttons up from the volume controls).

 

Transfer to an Extension

To transfer an active call (not on hold) to an extension on your system, simply press the button at the top of the phone that corresponds to the extension that you want to call while you are already on a call.

 

Transfer to another number

To transfer an active call to another number, press the “Xfer” button in the bottom left hand corner of the phone’s display screen. Dial the number you want to transfer to and then press “Xfer” again.

 

Conference Call

To initiate a conference call, start by placing a call using the instructions above.  While that call is active (not on hold), press the “Conf” button (located in the bottom left hand section of the phone’s display screen).  Dial the number you want to conference in.  Once that person has answered, press the “Conf” button again to conference them in.  If you change your mind before you conference the second person in, you can press the “Drop” button to abandon the second call and then the “Pickup” button (same place as the “Drop” button) to return to the initial call.

While on the conference call, you can select and drop either party by using the up/down arrows (located under the display) to select a call (an arrow will appear on the display next to the selected call) and then pressing “Drop” button.

 

Voicemail

To access your voicemail, press the voicemail button on your phone (located near the bottom left hand corner of the screen).  If you do not have a voicemail button, you can dial *97 and then pickup the handset.  To check your voicemail from a remote location, call your telephone number, and when your voicemail answers the call, press *.  If you want, we can also set-up a separate number that you can use to check your voicemail remotely.

 

Greetings

After you set-up your phones, you should record your standard greeting, your busy greeting, and your name.  The “standard” greeting is used when you do not answer.  The “busy” greeting is used when you are on the phone and you do not answer.  Record your greetings by accessing the voicemail system (see the paragraph above).  Then dial “0” for greeting options, and then “1” to record your standard greeting, “2” to record your busy greeting, and “3” to record your name.

 

Ringer Volume

To change the ringer volume, press the volume control buttons up or down while you are not on a call.  The volume buttons are located near the bottom left hand corner of the phone

 

Handset Volume

To change the handset volume, press the volume control buttons up or down while you are on a call using the handset.

 

Speakerphone Volume

To change the speakerphone volume, press the volume control buttons up or down while you are on a call using the speakerphone.

 

Contrast Level

To change the contrast level, press the “Options” button (under the red Goodbye button to the left of the “1” key), and then press 2, 2, and then 1.  Use the left and right arrows to select the desired contrast level, and then press “Done” to finish.

 

Headset

To connect a headset, plug the headset into the headset jack on the underside of the phone.

To enable the headset, press the following buttons on the phone:  Options, 2, 5, 1.  Press the down arrow to select “Speaker/Headset”.  Then press “Done.”

To use the headset, press the green Speakerphone/Headset button twice.  Pressing that button once will activate the speakerphone.
